The 48-hour migration — what's actually involved
Most studios assume migration is a weeks-long project that requires their team to dump everything into spreadsheets. It's not. Kollabo's migration team handles it for free. Here's the real timeline:
- Day 0: You sign up for Kollabo OS (14-day free trial — no card needed). You give us read access to your Mindbody account or send a CSV export.
- Day 1 (first 24h): We import clients, classes, memberships, packs, intake forms, and waivers. We rebuild your recurring class schedule and re-provision memberships in Stripe.
- Day 2 (second 24h): We run both platforms in parallel. Bookings made in Mindbody get mirrored into Kollabo. Your card-on-file tokens migrate via Stripe Connect (no client re-entry needed).
- Day 3+: You point your website + booking app at Kollabo. Mindbody becomes read-only for historical reference for 90 days. After that, cancel Mindbody.
What about card-on-file tokens?
This is the question that scares studio owners most. The good news: if both platforms use Stripe (Mindbody and Kollabo OS both do), card tokens carry over. Your members don't have to re-enter their card details. Their next charge — whether it's a membership renewal or a class booking — runs on the same card token, on Kollabo, automatically.
If you're on a non-Stripe processor on Mindbody (some legacy studios are on Mindbody Payments), we use Stripe's standard payment processor handoff to migrate tokens. Approximately 95% of cards transfer cleanly. The 5% that don't are usually expired cards anyway — Stripe will email those clients to update.
What to communicate to your members
Here's the email I send for every studio I migrate:
"Hey [name] — quick heads up. We're moving our booking system from Mindbody to a new platform called Kollabo. You'll get a new download link for our updated app on Tuesday. Your membership, classes, and account history all carry over. Nothing for you to do — except download the new app when you get the link. Reply if you have any questions."
That's it. No 600-word panic email. The shorter your communication, the less anxious your members get about the change.
What about my booking page on my website?
If you have a Mindbody widget embedded on your website (the booking iframe), we replace it with a Kollabo widget — same styling, same flow, same JavaScript snippet on your end. Most studios change one line of code. Some don't even need to touch their website if you're using a custom booking link (book.yourstudio.com style — Pro plan).
Can I keep running both platforms during the switch?
Yes. We recommend it. The first 7 days, run both Mindbody and Kollabo in parallel. New bookings happen on Kollabo. Mindbody stays as a historical read-only reference. After day 7, when your team is comfortable, you flip the switch — your client app, your booking page, your check-in flow all go Kollabo-only.
Mindbody's exit fee structure: there isn't one. Cancel anytime. Your data stays accessible for 90 days after cancellation.
What about my class history and revenue reports?
We import 12 months of historical bookings and revenue data into Kollabo so your reporting continuity isn't broken. If you need older data (multi-year), we can pull additional history from your Mindbody export — typical request takes an extra day.
Common things that break (and how we handle them)
- Custom intake forms: We rebuild them 1:1 in Kollabo's form builder. Existing client signatures preserved as PDF attachments.
- Class series with attendance discounts: Kollabo handles these natively — pack of 10, member discount, drop-in pricing all coexist on the same class.
- Mindbody Marketing Suite emails: Mindbody's email tool doesn't export. You'll need to rebuild your sequences. Kollabo OS Growth includes basic email automation; the AI Marketing add-on ($79/mo) gives you the full content + automation suite.
- Mindbody Connect (consumer marketplace) bookings: If 30%+ of your bookings come from Mindbody.com discovery, factor in that loss before switching. Most studios see <5% from there.
How long does the whole project take?
End-to-end: typically under a week. The actual migration is 48 hours. The other 5 days are: training your team (2 hours), updating your website (30 minutes), notifying members (one email), and running parallel operations to catch edge cases.
You're not doing it alone — Kollabo's migration team handles 90% of the work. Your job is mostly to answer two or three questions ("which membership types should we keep? which should we deprecate?") and tell us what your studio's branding looks like for the app.
What does it cost?
