How to Onboard New Studio Members: The First 30 Days

A step-by-step onboarding process for new fitness studio members. Welcome flow, first-visit experience, and 30-day engagement plan.

By Koryn Barrett— Founder & Marketing Director, Kollabo

The first 30 days determine whether a new member becomes a lifer or a 3-month dropout. Members who attend 8+ times in their first month have a 75% 12-month retention rate. Members who attend fewer than 4 times have a 70% chance of cancelling within 90 days.

Before the first visit

  • Welcome email — sent immediately after sign-up. Include: what to bring, where to park, what to expect in their first class.
  • Digital waiver — complete before arrival so they do not spend their first 10 minutes filling out forms.
  • App download prompt — get them on your branded app before they walk in.

The first visit

  • Instructor introduces themselves by name and asks the new member's name
  • Quick tour of the space (30 seconds, not 5 minutes)
  • Position them near someone friendly (not in the back corner alone)
  • Check in after class: "How was that? Any questions?"

Days 2–30

  • Day 3: automated message — "Great to meet you! Your next class recommendation is [X] on [day]"
  • Day 7: check-in — "How are you settling in? Any class you want to try?"
  • Day 14: milestone — "You have completed 4 classes! Here is what is coming up this week."
  • Day 30: conversion prompt — "Your intro pack is finishing up. Ready to continue? [link to buy a full pack]"
