How to Manage Substitute Instructors Without the Chaos

Systems for handling instructor substitutions. Availability, notification, member communication, and software tools.

An instructor calls in sick at 5am. The 6am class has 18 people booked. What happens next depends on whether you have a system or just panic.

Build a sub list

Maintain a list of substitute instructors for each class type. Each sub should know the format, the space, and the member expectations. Update this list monthly.

Notification flow

  1. Instructor notifies you (or the system) of unavailability
  2. Auto-notify subs on the list — first to confirm gets the class
  3. Update the schedule in the app — members see the sub's name
  4. Optional: notify booked members of the instructor change
