How to Create a Digital Waiver for Your Fitness Studio

Guide to digital waivers. What to include, legal considerations, and how to collect them automatically.

By Koryn Barrett— Founder & Marketing Director, Kollabo

A waiver protects your business from liability claims. Every member should sign one before their first class. Digital waivers are faster, easier to store, and legally valid in most jurisdictions.

What to include

  • Assumption of risk — member acknowledges physical activity carries risk
  • Medical disclosure — member declares any conditions that affect participation
  • Photography consent — permission to use photos/videos for marketing
  • Cancellation policy acknowledgement
  • Emergency contact

Legal advice

Get a lawyer to review your waiver once. The $300–$500 cost is worth the protection. Template waivers from the internet are better than nothing but may not cover your jurisdiction.

Digital collection

New members should complete the waiver digitally before their first class — either during sign-up in the app or via a link sent after booking. KOLLABO OS includes digital waivers that store against each member's profile.
