How to Choose Studio Management Software: The Decision Framework

A practical framework for choosing studio management software. What to prioritise, what to ignore, and how to evaluate platforms.

By Koryn Barrett— Founder & Marketing Director, Kollabo

With 20+ options on the market, choosing studio software feels overwhelming. Here is a framework that cuts through the noise.

Step 1: Calculate your real cost

Do not compare monthly subscription prices. Compare total annual cost: subscription + transaction fees + add-ons (branded app, SMS, API). Platforms with low subscriptions but high transaction fees often cost more than platforms with higher subscriptions and zero markup.

Step 2: Book a class as a member

Sign up for a trial of each platform. Book a class from your phone. How many taps? How fast? How does it feel? This is what your members experience every day.

Step 3: Check the staff experience

Can your front desk check someone in within 2 seconds? Can they ring up a sale without navigating 5 screens? Staff experience directly affects member experience.

Step 4: Ask about migration

How does the platform handle migrating your existing data? Will they do it for you, or is it self-service CSV imports?

Step 5: Check the contract

Annual lock-in means you cannot leave if the platform does not fit. Month-to-month means accountability. Prefer month-to-month.

The shortlist

Based on these criteria: KOLLABO OS (zero markup, branded apps, month-to-month, 48-hr migration), Momence (strong events, transaction fees), WellnessLiving (broad features, busy interface).
