Disclosure first: I built one of the platforms in this comparison (Kollabo OS). I'll keep the bias visible and tell you exactly when each competitor is the better choice. If you're a pilates studio owner reading this, you deserve a straight comparison, not a sales pitch.
What pilates studios actually need from their software
Before the comparison, here's what 90% of pilates studios I've talked to care about (in this order):
- Reformer scheduling with capacity limits — most studios run 6-12 reformers and need rock-solid spot management.
- Membership + class pack management — unlimited memberships, 10/20-class packs, drop-ins, all coexisting.
- Branded client app — pilates clients are loyal and expect a professional booking experience. A "powered by [generic]" app erodes brand trust.
- Waitlist that actually works — when classes fill, the waitlist needs to auto-promote and notify within seconds.
- Low transaction fees — most studios doing $15k-50k/mo are getting taxed 2-3% on top of Stripe by their platform. That's $300-1,500/mo in pure margin loss.
- Intake forms + waivers — pilates has more health-screening requirements than other class-based formats.
The honest comparison
| Platform | Base/mo | Branded app | Markup over Stripe | Best for |
|---|---|---|---|---|
| Mindbody Accelerate | $259 | +$200/mo | ~3% | Studios already on it; otherwise overpriced |
| Pike13 Standard | $129 | Limited | ~2.5% | Small studios that don't need an app |
| Walla Pro | $320 | +$149/mo | at-par | Boutique studios with serious budget |
| Momence Pro | $199 | +$99/mo | 2.5% | Modern UI lovers |
| Vagaro Pro | $90+ | +$100/mo | 2.2-3.5% | Solo instructors only |
| Pilates Anytime Studio Tools | varies | included | ~2.5% | Studios already on Pilates Anytime |
| Kollabo OS Growth | $199 | Included | 0% | Most pilates studios |
Where each one actually wins
Mindbody — wins for: legacy studios with deep Mindbody Connect integration
If 30%+ of your new clients come from Mindbody.com's consumer marketplace, you have to factor in that loss before switching. For studios in major US metros (LA, NYC, Miami) where Mindbody Connect drives real volume, switching costs more than the math suggests.
Pike13 — wins for: budget-conscious small studios
If you're under $10k/mo in revenue and don't need a branded app, Pike13 is genuinely competitive on price. It's lean but it works. The downside: no AI features, dated interface, manual marketing.
Walla — wins for: boutique studios that want best-in-class UX
Walla's interface is the prettiest on this list. Pilates and yoga studios with brand-conscious clientele love the polish. The catch: you're paying $320/mo base + $149/mo for the branded app = $469/mo. That's nearly the cost of Kollabo OS Pro.
Momence — wins for: studios that prioritize modern design
Modern UI, decent app, growing fast. The catch: still 2.5% markup on top of Stripe + branded app costs extra. Real cost on a $20k/mo studio matches Mindbody.
Vagaro — wins for: solo pilates instructors
If you're a single-instructor mat pilates teacher running 8 classes a week from a rented space, Vagaro's $30 base plan is genuinely the cheapest. The moment you add staff, branded app, or class packs, Vagaro becomes more expensive than Kollabo OS.
Pilates Anytime Studio Tools — wins for: studios already on Pilates Anytime
If you offer Pilates Anytime memberships to your clients as a perk, the integration is unbeatable. Otherwise, the studio management side is more limited than the dedicated platforms.
Kollabo OS — wins for: most pilates studios doing $10k+/mo
Branded app is included on Growth ($199). Zero markup on Stripe means you keep $300-1,000/mo more on a typical pilates studio. Spot Filler auto-fills empty reformer slots. Waivers and intake forms built for the health-screening side of pilates. Free 48-hour migration if you're switching.
The math on a typical pilates studio
Let's run the numbers on a pilates studio doing $25,000/mo in card payments:
- Mindbody Accelerate: $259 base + $200 branded app + $50 SMS = $509/mo + 3% on $25k ($750) = $1,259/mo
- Walla Pro: $320 base + $149 branded app = $469/mo + 0% markup = $469/mo
- Kollabo OS Growth: $199 + 0% markup = $199/mo
Annual savings vs Mindbody: $12,720. That's a vacation, an extra reformer, or a year of Pilates Anytime memberships for every member.
What Kollabo OS doesn't do (yet)
Honest list of where competitors beat us:
- No consumer marketplace: Mindbody and Momence have consumer-facing apps that send some discovery traffic. We don't yet.
- Less mature reporting in some niches: Walla's group-class P&L reporting is a hair more sophisticated for very large multi-location operators.
- No native workout tracking for solo at-home pilates: If your members do a lot of at-home reformer practice and want logged sessions, dedicated apps like Pilates Anytime are still more comprehensive.
How to actually decide
If you're a pilates studio doing $10k+/mo in card payments and you want a branded app: try Kollabo OS in preview mode with sample data (no credit card needed). When you're ready, the 14-day trial starts with a single click. Migration from Mindbody, Walla, Momence, or any other platform is free.
